What we collect If you talk to our digital employee and ask us to get back to you, we store the details you give us — typically your name, an email or phone number, and what you wanted to discuss. We also store the fact that you agreed to this, and when. Nothing else on this site asks you for personal data. Why we are allowed to hold it We rely on your consent, given in the conversation. You choose whether to give the details at all, and the request is made in plain language before anything is stored. What we use it for One thing only: getting back to you about your enquiry. We do not sell it, we do not rent it, and we do not add you to a marketing list you did not ask for. How long we keep it For as long as the enquiry is live, and a reasonable period afterwards so we have a record of the conversation. Ask us to delete it and we delete it. Your rights Under the GDPR you can ask for a copy of what we hold, ask us to correct it, ask us to delete it, or withdraw your consent at any time. Ask our digital employee, or email us — either works, and neither costs you anything. You also have the right to lodge a complaint with a supervisory authority in the EU member state where you live, work, or where you believe an infringement has occurred. Who else sees it Our own systems, and the infrastructure providers who host them. If you contact us over WhatsApp, that conversation also passes through Meta as the operator of that service. ## Where you are talking to a machine. The assistant on this website is an AI system, not a person. We say so on the chat itself, every time, before you type anything. If you would rather speak to a human, tell it so and it will pass you to one. We think this should be obvious rather than buried in a policy — which is also what the EU AI Act requires of anyone operating a system like this. --- # Terms of Service — MemVira URL: https://memvira.com/en/terms ## 5. Ownership — what stays ours Everything we build and operate remains ours. The digital employees and their memory architecture, the workspace, the automations, the applications, the underlying software, models, configurations, integrations and infrastructure (together, the "Platform") are and remain the exclusive property of Wolfbyte LLC and its licensors. Your subscription grants you a limited, non-exclusive, non-transferable, non-sublicensable and revocable licence to access and use the Platform for your own business during the term. It is a licence to use. It is not a sale, an assignment, a transfer of ownership, or work made for hire. No title passes to you at any point, and paying for a longer period does not change that. This expressly includes work performed specifically for you: your configurations, your automations and workflows, your integrations, and the website we build and run for you are all part of the Platform. That something was made for your business does not transfer ownership of it to your business. ## 6. Ownership — what stays yours Your data is yours. Your customer records, orders, messages, documents, catalogue and content ("Your Data") belong to you. We claim no ownership over any of it. We process it on your instructions as your processor, under the data protection terms below. Your brand is yours. Your name, logos, trade marks, images and any copy you supply remain yours. You grant us only the licence we need to run the service for you, and it ends when the subscription ends. If you suggest an improvement, we may use it without owing you anything for it. We may also use anonymised, aggregated information about how the Platform performs in order to operate and improve it — never in a form that identifies you or your customers. ## 7. What happens when it ends When your subscription ends, your licence to the Platform ends with it, and access stops. For 30 days afterwards we will make Your Data available to you for export in a common, machine-readable format. After that window we delete it, except where we are legally required to keep something. To be completely clear about what leaves with you: you keep Your Data, your brand assets and your domain. You do not keep the Platform. The digital employees, their accumulated memory, the workspace, the automations and the systems that make your website function do not transfer to you and will not operate without an active subscription. Any front-end you hold a copy of is a shell without the Platform behind it. We say this here, plainly and in advance, so that nobody is surprised later. If you want to own software outright rather than subscribe to it, we are the wrong supplier and we would rather tell you now. --- # Cookies — MemVira URL: https://memvira.com/en/cookies ## The parts that never change We use no advertising cookies, run no cross-site tracking, build no profiles of you, and never sell or share your data with brokers. That is a policy, not a temporary state of the code — it holds whatever we add later. We use Google Analytics to see which pages help people and which waste their time. It loads only after you agree: before that, nothing is requested from Google and no analytics cookie is set. Refusing is one click and exactly as easy as accepting, and you can change your mind whenever you like. IP addresses are truncated so the numbers cannot be traced back to you. --- # Data Processing Terms — MemVira URL: https://memvira.com/en/dpa ## 9. Memory, retention and erasure Your digital employee has a memory, and that memory is what makes it useful. It also means erasure needs to be handled more carefully than deleting a row from a table, so this clause says exactly how it works. We hold the memory in two separate layers. The first records specific events involving identifiable people — that a named customer ordered twice and is waiting on a refund. That layer is personal data. It is kept for as long as it is useful for the service and in any event no longer than 24 months, unless you instruct otherwise in writing, and it is erased on request. The second layer holds what the employee has learned, with the people taken out — that customers who order twice and then ask for a refund usually want an exchange offered first. That layer carries no personal data, cannot be traced back to an individual, and is therefore not subject to erasure. It is the same distinction a human colleague lives with: after five years they remember how to handle a refund dispute, not the name of every customer from 2021. When you exercise erasure, we delete the identifiable layer, including the derived vector representations of it — deleting the text but keeping the embedding does not count as erasure and we do not treat it as such. What survives is the general lesson, and your employee keeps doing its job. When the subscription ends we make your data available to export for 30 days, then delete your entire tenant — both layers, and the backups on their normal rotation. Here's what it actually means if you run a small business. URL: https://memvira.com/en/blog/eu-ai-act-august-2026 Date: 2026-07-21 If you run a shop, a clinic or a practice and you have any kind of AI on your website, a deadline is about to matter to you. On **2 August 2026**, the remaining transparency obligations of the EU AI Act become applicable. Most of the coverage is written for corporations with legal departments. This is the version for everyone else. ## The one that catches almost everyone **If a visitor is talking to a machine, you have to tell them.** That's Article 50. Not buried in a privacy policy nobody opens — clear enough that a normal person understands it before they start typing. If you added a chat widget last year and forgot about it, that widget is now your obligation. The same article covers two more: AI-generated or AI-edited content needs labelling, and synthetic media needs marking as artificial. ## What it doesn't mean It does not mean you need to stop using AI, hire a compliance officer, or file paperwork with Brussels. The heavy obligations in the Act are aimed at high-risk systems — credit scoring, hiring, biometrics. A shop assistant that answers questions about delivery times is not that. There's also relief built in for smaller companies: the simplified regime now reaches businesses up to 750 employees and €150 million turnover, with lighter documentation and reduced fines. ## What to do this month 1. **Find every AI touchpoint you have.** The chat widget, the auto-reply, the product description generator you tried once. 2. **Disclose the chat ones.** A single visible line before the conversation starts is enough. 3. **Label AI-written content** where a reader would otherwise assume a person wrote it. 4. **Write down what you did.** If anyone ever asks, "we checked on this date and here's what we changed" is a good answer. ## Where we stand We disclose our own. The assistant on this site says it's an AI before you type a word, and there's a plain-language note on our [legal page](/en/legal) explaining where you're talking to a machine. We think that should be obvious rather than clever. A business that hides the fact you're talking to software has already told you what it thinks of you.
